Privacy Policy
Effective date: September 10, 2026
Overview
This Privacy Policy explains how Clublee collects, uses, stores, and protects information when you use the Clublee mobile app. Clublee is built for campus communities: students can discover clubs, create and manage club spaces, post updates, comment, react, receive notifications, and share student guide tips. By using Clublee, you understand that some information is needed to operate those features.
Account and Sign-In Information
Clublee uses Google Sign-In and Firebase Authentication to sign users in and help verify that an account belongs to a supported school community. Firebase Authentication may process and store account information such as your email address, authentication provider, user identifier, and sign-in status. Clublee may also store your verified school email address, school, approved student email domain, authentication user ID, and account status so the app can connect you to the correct campus. Account identifiers and activity are stored for all supported sign-in methods, including methods that do not require an email address. Not every account has a verified school email or verified student status.
Profile Information
Clublee may store information you choose to add to your profile, including your username, avatar color, profile photo URL, selected interests, selected school, club roles, notification settings, muted clubs, and other preferences. This information helps personalize your experience, show your identity in posts or comments, manage club permissions, and keep the app consistent across devices.
Content and Activity
Clublee may store content and activity you create or interact with, including posts, comments, replies, uploaded images, likes, reactions, club discussions, club membership, club officer assignments, guide tips, submitted links, reports, moderation actions, and notification records. Some of this content is meant to be visible to other users in your school community. For example, your username, avatar, club role, posts, comments, replies, likes count, and club activity may appear to other Clublee users depending on where you post and the feature you use.
Device, Diagnostics, and Usage Information
Clublee uses Firebase Authentication, App Check, cloud services, and push notification infrastructure to operate and protect the app. These services may process technical information such as IP addresses, app or device identifiers, operating system information, app-integrity signals, request timestamps, and error logs for authentication, delivery, troubleshooting, and abuse prevention. The current app does not integrate Google Analytics for Firebase or Firebase Crashlytics.
Photos and Uploads
If you choose to upload a profile photo, post image, club header image, or other media, Clublee may upload that file to cloud storage and store a URL or reference so it can be displayed in the app. Clublee does not need access to your entire photo library unless you grant permission through your device. You can decide whether to select media, and you should avoid uploading images that contain sensitive personal information, private documents, IDs, grades, medical information, financial information, or information about another person without permission.
Notifications
Clublee uses Apple and Firebase push services for club announcements, discussion messages and replies, mentions, and moderation notices. Clublee stores push tokens, account and school associations, registration identifiers, and registration timestamps to route notifications to the currently registered account. Discussion preferences let you receive all messages or mentions only; unread counts use discussion activity and read state. Notification text may include a club name, sender name, or message preview and may appear on your lock screen. You can control previews and notification permissions in device settings.
How Clublee Uses Information
Clublee uses information to provide app functionality, authenticate users, connect users to the right school, show social and club content, save preferences, support posting and commenting, process likes and reports, manage clubs and officer roles, send notifications, moderate content, prevent spam or abuse, troubleshoot issues, and maintain security. The current app does not use advertising SDKs or cross-app advertising tracking.
Sharing and Service Providers
Clublee does not sell user personal information. Clublee uses Google and Firebase services, including Authentication, App Check, Cloud Firestore, Cloud Storage, Cloud Functions, and Firebase Cloud Messaging, and Apple push notification services to operate the app. These providers process information needed to deliver their services. Data may be processed outside your state or country. Clublee may also disclose information when required by law, to protect users, to investigate abuse, to enforce the Terms of Service, or to respond to valid legal requests.
Public and School-Visible Information
Clublee is a community app, not a confidential school system. Posts, comments, replies, club pages, officer names, guide tips, and profile details may be visible to other users according to the feature and its access controls. Community content may be accessible to accounts without verified school emails, according to the available access controls. Club discussions require membership, but members can copy or share what they see. Shared content and media links may be forwarded outside the app. Do not post confidential information. Clublee is not designed for confidential counseling, academic records, financial records, or emergency reports.
Retention and Deletion
Clublee retains account and content data while needed to provide the service, and may retain limited records for safety, legal obligations, disputes, and abuse prevention. You can request account deletion in Settings under Account & Safety after transferring or deleting clubs you own. Deletion removes your account and associated app content through a server-side process; an internet connection is required. Copies may remain in caches, backups, technical logs, moderation or security records, or material copied by other users. Media cleanup can fail and may require follow-up. Signing out or uninstalling is not confirmation of deletion. Use the account deletion option while connected and confirm that it completes before leaving the account. For incomplete deletion or privacy requests, contact privacy@clublee.app and include your Clublee account ID if available, but never send a password.
Your Choices
You can update your profile, change your avatar or profile photo, edit or delete certain posts and comments, change notification preferences, mute clubs, leave clubs, sign out, report content, block or unblock accounts, and permanently delete your account. You can also manage app permissions such as notifications and photo access in your device settings. If you do not want certain content associated with your account, do not post it.
Student Safety and Sensitive Information
Clublee is intended for ages 13 and older (13+) and student community use, but it is not an official college system, emergency service, counseling service, legal service, financial aid office, or academic records system. Do not post passwords, IDs, Social Security numbers, payment information, private grades, immigration information, medical information, safety threats, or emergency requests. For emergencies, contact emergency services, campus safety, or the appropriate official office.
Changes to This Policy
Clublee may update this Privacy Policy as the app changes. If the policy changes in a meaningful way, Clublee may update the effective date and provide notice in the app where appropriate. Clublee is responsible for keeping privacy disclosures accurate and consistent with the app's actual data practices, including information provided in App Store Connect.
